Mid-Year COIDA Review: Protect Your Business Before It Becomes a Problem

June marks the midpoint of the year, and for many employers, it is the point where COIDA compliance either catches up with them or gets managed proactively. With the Compensation Fund’s submission windows in play and injury on duty (IOD) incidents a daily operational reality, now is the time to get your house in order.
What Is COIDA and Why Does It Matter? 

The Compensation for Occupational Injuries and Diseases Act (COIDA) exists to protect both employers and employees when workplace injuries or occupational diseases occur. As an employer, registration with the Compensation Fund is a legal obligation, and failure to comply can result in penalties, rejection of claims, and personal liability.

But registration is only the beginning.

Injury on Duty: Are You Handling It Correctly? 

When an employee is injured on duty, there is a clear process that must be followed, and most employers get it wrong or leave it too late.

Key obligations include:

  • Reporting the incident to the Compensation Fund within 7 days of the accident (or as soon as it comes to your attention)
  • Completing and submitting the correct documentation, including the W.Cl.1 (employer’s report) and supporting medical reports
  • Keeping accurate records of the incident, treatment, and time lost

Delays in reporting or incomplete documentation can result in claims being rejected, leaving your employee without recourse and your business exposed.

LOGS: The Submission You May Be Overlooking 

The Letter of Good Standing (LOGS) is issued by the Compensation Fund and confirms that your business is up to date with COIDA assessments and payments. Many employers only think about LOGS when a client or tender requires it, and by that point, delays can cost you business.

To maintain a valid LOGS, you need to:

  • Submit your annual Return of Earnings (ROE) on time
  • Ensure your assessment fees are paid
  • Keep your company details updated with the Compensation Fund

If your LOGS has lapsed or you are unsure of your standing, do not wait for a contract to reveal the problem.

Mid-Year Is the Right Time to Act 
June is a natural checkpoint. If you have had IOD incidents this year that were not reported correctly, address them now. If your ROE submission or LOGS renewal is overdue, sort it before the second half of the year adds more complexity.
